An AI agent is an AI system that works toward a goal on its own. You give it a task, and it plans the steps, uses tools such as a web browser or a spreadsheet, checks its progress and keeps going until the task is done or it gets stuck.
A regular chatbot answers one message at a time. An agent takes actions.
How AI agents work
- Goal: you describe what you want, for example “find 20 UK accounting firms with 10 to 50 staff and add them to this sheet”.
- Plan: the agent breaks the goal into steps.
- Act: it uses the tools it has access to, such as search, a browser, your email or a database.
- Check: it reviews the results and decides what to do next.
- Report: it tells you what it did, or asks you when it needs a decision.
What AI agents can do today
| Task | Example | Risk level |
|---|---|---|
| Research | Collect and summarise information from many web pages | Low |
| Admin | Sort emails, update CRM records, book meetings | Medium |
| Sales support | Build prospect lists and draft outreach | Medium |
| Content | Draft posts and repurpose them for social media | Medium |
| Payments or contracts | Pay invoices, sign agreements | High: keep a person in charge |
For sales teams, agents are already used to research prospects. Our guide to AI for B2B sales prospecting covers this in detail.
Where agents still fail
- Tasks that need judgement about people, taste or brand voice
- Long tasks, where one early mistake carries through every later step
- Websites that change layout or block automated visitors
- Anything where a wrong action is expensive or hard to undo
How to start safely
- Pick one repetitive task your team does every week.
- Keep a person in the loop. Let the agent prepare the work and have someone approve it before anything is sent, paid or published.
- Give minimal access. Only connect the accounts and data the task needs.
- Log what it does so you can check and correct it.
- Measure the time saved after 2 to 4 weeks.
Clear instructions make agents far more reliable. The same skills apply as with chat assistants, so our guide on writing better AI prompts is a good next step. If you are comparing tools, see how to choose AI tools for marketing.
