For most sales teams, 2 or 3 AI tools that remove the slowest parts of the process are enough. This guide shows how to pick them.

Map your sales process first

Write down every stage a deal goes through: finding leads, research, outreach, booking meetings, calls, follow-up and CRM updates. Then mark where reps lose the most time. That is where a tool should go.

Main types of AI sales tools

CategoryWhat it doesCommon examples
Prospecting dataFinds companies and contacts that match your ideal customerApollo, ZoomInfo, LinkedIn Sales Navigator
Research assistantsSummarise accounts, news and hiring signalsGeneral AI assistants, research agents

Examples are common options, not recommendations. Check current features and pricing before buying.

Questions to ask before you buy

  1. Does it connect to the CRM and email tools we already use?
  2. Where does its contact data come from, and is it compliant with GDPR in the markets we sell to?
  3. Can we test it on real deals during a trial?
  4. How much time will it save each rep per week, and how will we measure that?
  5. What happens to our data if we cancel?

Start with 2 tools

For most small teams, the biggest gains come from one research or outreach tool and one call-recording tool. Add more only when you can prove the first ones work.

Measure the results

Track replies, meetings booked and hours spent on research per rep, before and after rollout. If the numbers don’t move within a quarter, change or cancel the tool.
