How to Use AI for B2B Sales Prospecting: A Step-by-Step Guide

Where AI saves time in B2B prospecting, from building account lists to research and first drafts, and where reps still need to do the work.

Prospecting eats a large part of a sales rep’s week: finding the right companies, researching them, finding the right person and writing a first message. AI can now handle much of the research and drafting. The human work of judgement, conversations and relationships stays with the rep.

Step 1: Define your ideal customer profile

Export your last 20 to 50 closed deals and ask an AI assistant to find what they have in common: industry, company size, location, tools used, and the problem that made them buy. Check the patterns with your team before you use them.

Step 2: Build a focused account list

Use a prospecting database with AI filters, such as Apollo, ZoomInfo or LinkedIn Sales Navigator, to find companies that match. Smaller, well-matched lists get better results than large generic ones.

Step 3: Research each account quickly

Ask an AI assistant or research agent to summarise each company: what it does, recent news, hiring activity and likely challenges. This takes minutes instead of 20 to 30 minutes per account. Always check anything you plan to mention in an email.

Step 4: Write personalised outreach

Use the research to write a relevant first line and a short message. Our guide to personalising cold emails with AI walks through a workflow that keeps quality high.

Step 5: Prioritise and follow up

Many CRMs now score leads using engagement data, such as email opens, website visits and replies. Use the score to decide who to call first, then follow up consistently.

Rules to follow

  • Follow data protection law. In the UK and EU, that means UK GDPR and GDPR, plus PECR for electronic marketing in the UK. Check the ICO’s direct marketing guidance before emailing individuals.
  • Never let AI invent facts about a prospect.
  • Protect your sending domain. Read our email deliverability checklist before scaling outreach.

Choosing the tools for each step is its own decision. See how to choose the right AI sales tools. More guides are in the AI Sales section.
